How To Add An Email Account To Outlook

There are many different types of email accounts you can add to Outlook, including Microsoft 365, Gmail, Yahoo, iCloud, and Exchange accounts.

Some third-party email providers, like Gmail, Yahoo, and iCloud, require you to change some settings on their websites before you can add these accounts to Outlook.

These steps are the same whether you’re adding your first email account or additional email accounts to Outlook.

  1. Selectย Fileย >ย Add Account.

    Select File, then Add Account.

  2. What you see next depends on your version of Outlook.

     

    For Outlook for Microsoft 365 and Outlook 2016

    For Outlook 2013 and Outlook 2010

    Enter your email address and click Connect.Enter your email address and clickย Connect.

    Enter your name, email address, and password.Enter your name, email address, and password, and clickย Next.

  3. If prompted, enter your password again, then selectย OKย >ย Finishย to start using your email account in Outlook.

 

Outlook won’t accept my password

If Outlook wonโ€™t accept your password and you know youโ€™re using the password for your email account, you might have an email account that requires additional security.

Gmail, Yahoo, iCloud, Outlook.com,ย and AOL accounts all use two-factor authentication to help verify that youโ€™re the person trying to access your email account.

To add your email account to Outlook, youโ€™ll need an app password, also known as an application password. This is a different password than your regular email account password. One way you’ll know you need an app password isย if you see the following message:ย 2-factor authentication is set up for your account. Please sign in using your application password.

The steps to obtain an app password are different for each email provider. Select your provider in the drop-down for instructions.

You may need to manually add your email account. Choose from one of the advanced methods below:

Use advanced setup to add a POP or IMAPย email account in Outlook for Windows

If you need to enter specific values for incoming and outgoing server names, port numbers, or SSL settings, you can use Outlook’s advanced setup option. You can use these instructions to add a POP or IMAP account to Outlook.

  1. Open Outlook and selectย Fileย >ย Add Account.
  2. On the next screen, enter your email address, selectย Advanced options, then check the box forย Let me set up my account manuallyย and selectย Connect.
  3. Select your account type. Most of the time when you need to use this option, you’ll selectย IMAP.
  4. Theย Account settingsย screen should be pre-populated with most of the account settings you need. However, if you need to look up your settings, see theย POP and IMAP account settingsย topic. Enter your incoming and outgoing server settings and then selectย Next.
  5. Enter your password and then selectย Connect.

Use advanced setup to add a third-partyย MAPI email account to Outlook for Windows

If you are using a third-partyย MAPI provider, download and configure the MAPI email provider application as suggested by provider company.

  1. Open Outlook and selectย Fileย >ย Add Account.
  2. On the next screen, enter your email address, selectย Advanced options, check the box forย Let me set up my account manually, and selectย Connect.
  3. On theย Advanced Setupย screen, selectย Other.
  4. On theย Otherย screen, choose the type of server to connect to from the list.
    Note:ย Theย Otherย option and your account type listed under it will only appear if youโ€™ve properly installed and configuredย the MAPI provider.
  5. Clickย Connect.
  6. The third-party MAPI provider application installed on your machine should launch.
  7. Finalize the account setup by following the MAPI provider’s instructions.

How To Add An Email account to your iPhone or iPad

There are two ways you can set up an email account in the Mail app on your iOS device โ€“ automatically or manually. Find out which option is best for you.

How to set up your email account automatically

If you’re using an email provider such as iCloud, Google or Yahoo, Mail can set up your email account automatically with just your email address and password. Here’s how:

  1. Go to Settings > Mail, then tap Accounts.

  2. Tap Add Account, then select your email provider.
  3. Enter your email address and password.
  4. If you see Next, tap it and wait for Mail to verify your account.
  5. If you see Save, tap it.

If you can’t see your email provider, tapย Other to add your account manually.

How to set up your email account manually

If you need to set up your email account manually, make sure you know the email settings for your account. If you don’t know them, you canย look them upย or contact your email provider. Then follow these steps:

  1. Go to Settings > Mail, then tap Accounts.
  2. Tap Add Account, tap Other,ย then tap Add Mail Account.
  3. Enter your name, email address, password and a description for your account.

  4. Tap Next. Mail will try to find the email settings and finish setting up your account. If Mail finds your email settings, tap Done to finish the account setup process.

Enter account settings manually

If Mail can’t find your email settings, you will need to enter them manually. Tap Next, then follow these steps:

  1. Choose IMAP or POP for your new account. If you’re not sure which one to choose, contact your email provider.
  2. Enter the information for Incoming Mail Server and Outgoing Mail Server.ย Then tap Next. If you don’t have this information, tryย looking it up.

  3. If your email settings are correct, tap Save to finish. If the email settings are incorrect, you’ll be asked to edit them.

If you still can’t set up your email account or save your email settings, contact your email provider.

How To Set up email in Mac OS X Mail

If you’re running Mac OS X version 10.10ย or later, you can use the Mac Mail, Calendar, and Contacts apps to connect to a Microsoft Exchange account.ย How do I know what version I have?

If just want to manage your Exchange email account on the Mac, you can use the Mac Mail app to connect to your account using Internet Message Access Protocol (IMAP) or Post Office Protocol (POP).

Set up Exchange account access using Outlook for Mac

If you have Outlook for Mac, you can use it to access your Exchange account. Seeย Add an email account to Outlookย for instructions.

Set up Exchange account access using Mac OS X 10.10ย or later

If you’re running Mac OS X version 10.10 or later, follow these steps to set up an Exchange email account:

  1. Open Mail, and then do one of the following:
    • If you’ve never usedย Mailย to set up an email account, theย Welcome to Mailย page opens. Go to step 2.
    • If you’ve usedย Mailย to create email accounts, selectย Mailย >ย Add Account.
  2. Selectย Exchangeย >ย Continue.
  3. Enter the name, email address and password for your Exchange account >ย Sign In.
  4. Choose the Mac apps you want to use with this account. Available choices areย Mail,ย Contacts,ย Calendar,ย Reminders, andย Notes.
  5. Clickย Done.

If the Mail program isn’t able to set up your account automatically, wait a few minutes or a few hours, and then repeat these steps. If after repeating the steps Mail still isn’t able to set up your account automatically, seeย What else do I need to know?ย in this article.

 

Set up POP or IMAP on Mac OS X

If you just want to manage your Exchange email on the Mac, you can also set up POP or IMAP access to your account.

  1. Open Mail, and then do one of the following:
    • If you’ve never used Mail to set up an email account, theย Welcome to Mailย page opens. Go to step 2.
    • If you’ve used Mail to create email accounts, on theย Mailย >ย Add Account.
    • Selectย Other Mail Accountย >ย Continue.
  2. Enter the name, email address and password for your account >ย Sign In.
  3. If you seeย Unable to verify account name or password, selectย Nextย to enter your settings manually.
  4. Enter the following details
    • In theย Email Addressย andย User Nameย boxes, type your email address.
    • In theย Passwordย box, type the password for the email account.
    • Inย Account Typeย , chooseย IMAPย orย POP. IMAP supports more features.
    • Inย Incoming Mail Server, type the IMAP or POP3 server name. If youโ€™re connecting to your Microsoft 365 email, the IMAP or POP server name isย outlook.office365.com. If youโ€™re not using Microsoft 365, seeย POP and IMAP email settings for Outlook.
    • Inย Outgoing Mail Server, type the SMTP server name. If youโ€™re connecting to your Microsoft 365 email, the SMTP server name isย smtp.office365.com. If youโ€™re not using Microsoft 365, seeย POP and IMAP email settings for Outlook.
  5. Clickย Sign In.

    Note:ย If the mail account configuration isn’t successful, repeat step 4 and try again.

  6. Next choose the Mac apps you want to use with this account. Available choices areย Mailย andย Notes.
  7. Clickย Done.

What else do I need to know?

  • Some issues are resolved just by updating to the latest available released version of Mac OS X. See theย Apple web siteย for update instructions.
  • Connecting to your email account through Mail for Mac may fail if you haven’t registered your account. If your email account is the type that requires registration, you can register it the first time you sign in to Outlook on the web. After you sign in to your account, sign out.
