This article will explain how to set-up your email on your Android phone.

Please Note – The instructions below are correct as of 4th October 2019.
Step 1
Note:Β If you have a work account that requires theΒ Intune Company PortalΒ app, install it from the Google Play Store before setting up Outlook for Android. Your IT admin may or may not also require you toΒ Enroll your Android device in Intune.
Install theΒ Outlook for AndroidΒ app from theΒ Google Play StoreΒ and then open it.
TapΒ Get StartedΒ if this is your first time.
Otherwise, to add another email account, open theΒ MenuΒ
Β >Β SettingsΒ
Β >Β Add AccountΒ >Β Add Email Account. Then skip to step 4 underΒ Set up another email accountΒ below.
Step 2
Outlook may detect your Google accounts. To add them to Outlook for Android, tap Google Connect AccountΒ and then tapΒ OKΒ to confirm. TapΒ AllowΒ to give Outlook access to your Contacts.

If you don’t want to add these accounts, tapΒ SkipΒ and then go to step 4 underΒ Set up another email accountΒ below..
Step 3
Select the accounts you’d like to add and tap Add Account. You may be asked to sign in.
TapΒ AllowΒ to confirm offline access and any other prompts.
To add another email account, tapΒ ContinueΒ and go to Step 4, otherwise tapΒ Skip.

Step 4
Enter your full email address, then tap Continue.
Note:Β If you’re asked to choose your provider, you’ll have toΒ Set up your Exchange manuallyΒ orΒ set up an IMAP or POP account.

Step 5
Enter your email account password and tap Sign InΒ orΒ Next.
Note:Β The sign in screen may look different for you depending on your email provider.

Step 6
If multi-factor authentication is enabled, verify your identity. For more information, see Security info overview.

Old Instructions
Choose your built-in Android email app:
Before you begin, update the Gmail app to the latest version:
- Open the Google Play Store app on your phone or tablet.
- Type “Gmail” into the search bar and then selectΒ Update.
Note:Β If the update option is not available, you’re already on the latest version.


Open the Gmail app.
Tap the menu icon in the upper left corner >Β SettingsΒ >Β Add accountΒ >Β Exchange and Office 365.
Important:Β DoΒ NOTΒ choose “Outlook, Hotmail, and Live” unless you want to sync email only and not calendar/contacts.



Enter your full email address and tapΒ Next.
Enter your password and tapΒ Next.




Follow steps for your account type:
- Outlook.com users: skip this step
- Exchange or other accounts: you may have to ask your IT admin or email provider for server settings andΒ set up your account manually
- Office 365 work or school: you may see aΒ Redirect requestscreen. TapΒ OK.
On the Incoming server settings screen, change your server toΒ outlook.office365.com.


Follow any prompts you may get for security or device permissions, sync settings, and more.

If you have an Office 365 work or school account, you may also be asked to confirmΒ Remote security administrationΒ and approve additional security measures. In this case, chooseΒ OKΒ orΒ Activate.


Go to the inbox you just set up. If you see an email that says “Action Required to Sync Email,” open it and tapΒ Use another Mail app instead.
If you don’t see this message and emails are syncing, skip this step.



Pull down the Android notification bar by swiping down from the top of your screen.
If you see a notification that reads “Unable to sync calendar and contacts,” tap it. Then tapΒ AllowΒ to give access and you’re done!
Note:Β If you don’t see a sync error, verify your calendar and contacts are syncing.
Set up email as IMAP or POP
You can set up your email account manually using IMAP or POP instead of Exchange ActiveSync. This means that only your email will sync to your phone, not calendar or contacts.Β What are POP and IMAP?
- Open the Gmail app. Go toΒ SettingsΒ >Β Add accountΒ >Β Other.
- Enter your full email address, such asΒ yourname@hotmail.comΒ and then tapΒ Manual Setup.
- ChooseΒ Personal (IMAP)Β orΒ Personal (POP3).
- Enter your password and tapΒ Next.
Important:Β If you get a security error, close the Gmail app and then go through the steps again.
- If you’re prompted to enter settings, use these for the options available:
Incoming Server Settings
- Domain\Username
Make sure your full email address appears. For example,Β yourname@outlook.com. - Password
Use the password that you use to access your email. - Server
- UseΒ imap-mail.outlook.comΒ for Outlook.com IMAP accounts.
- UseΒ pop-mail.outlook.comΒ for Outlook.com POP accounts.
- UseΒ outlook.office365.comΒ for any work or school accounts on Office 365 for business.
- For Exchange email accounts, contact your email provider or system administrator.
- Port
- UseΒ 993Β for IMAP.
- UseΒ 995Β for POP.
- Security type
SelectΒ SSL/TLSΒ or make sure theΒ Use secure connection (SSL)Β checkbox is checked, then tapΒ Next.
Outgoing SMTP Server Settings
- SMTP Server
- UseΒ smtp-mail.outlook.comΒ if you’re using an Outlook.com account.
- UseΒ smtp.office365.comΒ if you have an Office 365 for business account.
- For Exchange email accounts, contact your email provider or system administrator.
- Security Type
ChooseΒ TLS. - Port Number
EnterΒ 587. TapΒ Next.
- Domain\Username
- Follow any prompts you may get, including security permissions and setting a display name.
- You’re now ready to use your email in the Android Gmail app!
An Alternative Guide
Perhaps the easiest way to do this is the follow the guidelines established in the video below.
Please note:Β The steps to set up your mailbox on your Android phone may differ slightly depending on the Android device that you have. The below instructions have been created using theΒ Samsung Galaxy SΒ device, and might vary slightly from other devices.
To set-up your Android Smartphone device toΒ send and receive email, please do the following:
Step 1 –Β Click onΒ EmailΒ icon in the main menu.

Step 2 –Β If this is the first time adding an email account, you will be immediately prompted to add a new account. If you already have an account created, click on the OptionsΒ button, thenΒ AccountsΒ button to create a new account.
Step 3 –Β Type yourΒ Email addressΒ andΒ PasswordΒ then click onΒ NextΒ button to continue.
Step 4 –Β Click on theΒ POP3 accountΒ or theΒ IMAP accountΒ depending on the type you want to use.
Note – Typically we would expect you to use the ‘POP3’ option here.
Step 5 –Β Fill in the following details:
- Your full email address in theΒ User nameΒ field.
- Your email address password in theΒ PasswordΒ field.
- If you have selected POP3 then type inΒ pop.example.co.ukΒ into theΒ POP3 serverΒ field.
- If you have selected IMAP then type inΒ imap.examle.co.ukΒ into theΒ IMAP serverΒ field.
- 143 for IMAP and 110 for POP3 as theΒ PortΒ number.
Click on theΒ NextΒ button.
Step 6 –Β Fill in the following details:
- smtp.123-reg.co.ukΒ in theΒ SMTP ServerΒ field.
- 25 as theΒ PortΒ number.
- Click on theΒ Require sign-inΒ tick box.
- Your full email address in theΒ User nameΒ field.
- Your email address password in theΒ PasswordΒ field.
Click on theΒ NextΒ button.
Your Android device will now check your settings with the server.Β Select the email checking frequency settings and click on theΒ NextΒ button.
Step 7 – Enter a name for the account. The account name is there for you to easily identify the email account in your phone if you have multiple email accounts set up.Β Β
Step 8 – ClickΒ Finish set-upΒ to finish the set-up.
